Cline Library Large Group Meeting Room Use Policy

Cline Library's Large Group Meeting Rooms are intended to support the academic, educational, and organizational activities of the Northern Arizona University community. These rooms are available for reservation by:

• Current NAU faculty
• Current NAU staff
• Current NAU students
• NAU academic departments and administrative units
• Recognized NAU student organizations

Eligibility Requirements

By reserving a Large Group Meeting Room, the reserving individual affirms that:

• The meeting or event will include a minimum of ten (10) attendees.

• All attendees are current NAU faculty, staff, or students, unless otherwise authorized through university event approval processes.

• The reservation is being made for an eligible NAU-affiliated purpose and is not intended for use by external organizations, businesses, or community groups.

• The individual making the reservation is responsible for ensuring compliance with all applicable university and library policies.

Registered Student Organizations

Reservations made on behalf of a recognized NAU Registered Student Organization must also comply with university event procedures.

By reserving a Large Group Meeting Room on behalf of a NAU Registered Student Organization, the reserving individual affirms that an event request has been submitted through True Blue Connects and that all applicable approvals have been obtained before the event takes place.

External Organizations and Events

Large Group Meeting Rooms are generally reserved for use by the NAU community. External organizations, community groups, and non-NAU entities are not eligible to reserve these spaces.

Groups wishing to host an event involving an external organization must coordinate through Campus Events and follow all applicable university event policies and procedures. The library reserves the right to cancel reservations that do not meet eligibility requirements or that are found to have been reserved on behalf of an external group without the appropriate approvals.

Cline Library reserves the right to:

• Verify eligibility and room usage.
• Request additional information regarding a reservation.
• Cancel reservations that do not comply with library or university policies.
• Refer event organizers to Campus Events, True Blue Connects, or other appropriate university offices for additional approvals or alternative venue arrangements.
